Bring the venue and rental contacts together
Identify the authorised entrance, usable ground and person who approves placement. Explain when the property is occupied and which areas must stay clear for other suppliers. Include the route guests or workers will take, not just the route a vehicle uses on arrival.
Prepare for the end as well as the start
Ask about supplies, cleaning and the pickup request process before confirming the rental. Share instructions with the person staying after the event or working the final shift. If the arrangement changes, confirm it with the rental business before moving equipment or closing the entrance.
Keep a single timetable for the occupied space
List supplier access, preparation, use and cleanup, then ask the property contact to review it with the proposed location. Note when other deliveries may block the approach or when an indoor facility closes. Share the agreed version with the receiving person and confirm later changes with the affected supplier instead of leaving conflicting schedules.
- One timetable for suppliers and users
- Known access conflicts marked
- Accepted changes shared with receiving contacts
