Describe recurring use accurately
A series of outdoor activities may use facilities differently from a continuously occupied worksite. List the days of activity, expected users and gaps between events. Explain whether the property remains accessible when no organiser is present. That pattern helps the rental conversation address both use and maintenance.
Make schedule changes explicit
Ask what happens when an occasion is cancelled, moved or extended. Confirm the revised service and collection arrangements instead of assuming visits stop automatically during quiet weeks. Keep the responsible contact up to date if different volunteers manage successive events.
Hand the rental over between organisers
If different people supervise successive sessions, keep the accepted equipment, supply and access instructions in one shared handover. Explain the inactive dates to the provider and ask what support applies while facilities remain on the property. A quiet week or cancelled session does not by itself change the rental agreement or scheduled visits.
- Current organiser and replacement contact
- Inactive dates communicated
- Responsibilities while equipment remains on site
